Running a Performance Appraisal

The full flow — building the appraisal form and performance group, assigning reviewers, and tracking annual performance reviews.

During an annual or quarterly performance review, HR creates an appraisal form and assigns it to employees and managers for scoring. In FLEXPEO you can configure the appraisal items and weightings.

Step 1: Create the appraisal form (items and weightings)

  1. Go to Performance > List.
  2. Click +Add Performance Appraisal in the top right to start a new form (e.g. "2026 Annual Sales Department Appraisal").

Step 2: Configure the appraisal items (key step)

This is the heart of the form — it decides what employees are evaluated on.

  1. Fill in the basics:
    • Enter the employer information.
    • Set the appraisal name (e.g. "Annual Appraisal"), the performance code (e.g. "PR-2026"), and the total score (default is 100).
  2. Add appraisal items:
    • Click Add to set each appraisal question (e.g. "Sales target attainment", "Teamwork").
    • Item type: choose how it should be scored — numeric rating, free-text comment, or rating plus comment.
  3. Set the weightings:
    • Give each item a weight (e.g. sales target 70%, teamwork 30%).
    • Note: the total weighting across all items must add up to exactly 100%.
  4. Set the review relationship:
    • Pick the scoring flow — typically "employee self-rating → manager rating → employee can view results".
  5. Click Save and the appraisal form is ready.

Step 3: Publish the appraisal to employees

Once the form is built, assign it to a specific group of employees.

  1. Create a performance group (the audience):
    • Go to Performance > Performance Group > +Add.
    • Choose the "2026 Annual Sales Department Appraisal" you just built and add the sales team to this group.
  2. Set the reviewers:
    • Go to Performance > Configuration.
    • Add or remove the reviewers (typically the direct supervisor) based on your situation.
  3. Publish:
    • Once everything looks right, click Publish.
    • Employees get a notification on the ESS app and can tap Pending self-rating under the Performance section. Managers see the list of direct reports they need to review under My Team.

Friction-Killer tip: To stop everyone scrambling at year-end, set a deadline reminder under Notification Management at the same time you publish. The system will then nudge anyone who hasn't finished their scoring.
